A growing partnership

Innofactor is a Finnish software company employing around 500 people across Finland, Sweden, Denmark, and Norway. The collaboration with Integrata started in Finland and worked so well that a new idea emerged: could the same model be extended elsewhere? The client’s message was clear:

– We hoped Integrata would expand into the Swedish market and that we could continue as a client there. Given the success of our collaboration in Finland, we were confident it would deliver the same results in Sweden, says Innofactor’s HR Team Lead Eveliina Keinänen.

Trust had already been built during the collaboration in Finland. With well-functioning payroll processes, effective communication, and a partner who understands the business, extending the model to another country felt like a natural next step. When Integrata launched operations in Sweden in summer 2025, Innofactor continued the partnership in the new market. The goal was clear: to create a payroll system that works seamlessly across borders.

One model, two countries

The expansion was not just geographical. It also created an opportunity to develop and standardize payroll processes across Finland and Sweden. Previously, operating in multiple countries meant separate systems, fragmented processes, and poor information flow. With Integrata, the approach shifted toward shared practices and familiar tools.

Clear roles save time

A clear division of responsibilities has been key to the success of the partnership. From the very beginning, roles were carefully defined: what is expected from the client, what is the role of the payroll partner, and how the payroll process works in practice. Clear responsibilities make collaboration more efficient and seamless.

According to the client, the collaboration has significantly clarified expectations for the payroll partner as well as the organization’s own role in the payroll process. The impact is most visible in increased efficiency. Previously, resolving payroll errors and exceptions took a considerable amount of time and often involved additional follow-up work. Now, such instances have been greatly reduced.

– Looking back, these types of tasks often ended up on my desk. Now, they rarely do, says Keinänen.

The underlying principle is simple yet effective: the goal is to keep payroll processes as consistent as possible across countries, while complying with local regulations. The core logic of payroll is very similar in many countries, but the role of experts is to ensure that local laws and practices are properly incorporated into the process.

– Many steps in the payroll process are essentially the same regardless of the country. Standardizing these steps keeps the overall process simple and manageable.
